How to choose accounting software
Every accounting platform will tell you it saves time and keeps you compliant. This guide covers what to actually assess before you commit — because migrating ledgers later is painful enough that the first decision matters.
1. Start with your business shape, not the feature list
A sole trader, a five-person agency and a 40-person manufacturer need fundamentally different things. Sole traders should weight self-assessment and simplicity; employers should weight payroll; product businesses should weight stock and purchase ordering. Write down your shape before looking at any vendor page.
2. Compliance is table stakes — check the specifics
In the UK, Making Tax Digital compliance for VAT (and income tax from 2026 for the self-employed) is non-negotiable, and all four leading products handle it. Beyond that, verify the specifics you need: CIS deductions, reverse-charge VAT, multi-currency trading or corporation tax workflows can each eliminate contenders immediately.
3. Bank feeds and automation are where the hours go
The daily reality of accounting software is reconciliation. Test how each product handles your actual bank, how confidently it auto-matches transactions, and how much manual categorisation remains. A system that saves twenty minutes a day beats one with a prettier dashboard.
4. Model users, payroll and add-ons, not the sticker price
Entry prices exclude the two costs that bite later: extra seats and payroll. Xero's unlimited users versus per-tier seat caps elsewhere can flip the total-cost comparison within a year. Build a two-year cost model with the plan you will actually be on.
5. The ecosystem is a feature
Payments, e-commerce, expenses, POS and reporting add-ons all connect to your ledger. If you run Shopify, Stripe, GoCardless or Dext, check integration quality — not just existence — before choosing. A 1,000-app marketplace is insurance that your next tool will connect.
6. Ask your accountant — then decide for yourself
Accountant familiarity matters: it lowers your fees and smooths year end. But accountants recommend what they know, not always what fits you best. Treat their preference as one strong input alongside your own hands-on trial.
